TERMS AND CONDITIONS FOR BOOKINGS AND CANCELLATIONS

The following terms and conditions govern program services provided by Hile Outdoor. By booking a service, you agree to these terms.
1. Booking and Confirmation
Bookings can be made verbally, in writing, or through the online booking system available on Hile Outdoor’s website. A booking is confirmed once the customer receives an email confirmation. This email will include details such as the service time, location, and any relevant instructions.
Customers are responsible for verifying the accuracy of the booking confirmation and must notify Hile Outdoor immediately of any errors or discrepancies.
2. Prices
All prices listed include Value Added Tax (VAT) as per the Finnish Value Added Tax Act (1501/1993).
3. Payment Options
Payment options are displayed in our online store. For bookings made via phone or email, payment methods will be communicated during the booking process.
4. Payment Deadlines
Payments must be made by the due date specified during booking. Failure to complete payment by the deadline will result in automatic cancellation of the booking.
5. Cancellation Policy
Cancellations must be made by contacting Hile Outdoor via phone or email. The cancellation time is recorded when a phone call is answered or when an email is received by Hile Outdoor.
- Cancellations 8 or more days before the service date: 100% refund.
- Cancellations 7–1 days before the service date: 50% refund.
- Cancellations on the same day or no-show: No refund.
In cases of sudden illness, a death in the family, or other extraordinary circumstances that prevent participation, customers must ensure their travel or accident insurance covers the cost of the booking. Customers must notify Hile Outdoor immediately. The refund terms outlined above still apply.
6. Insurance
Hile Outdoor maintains valid liability insurance to cover damages caused by any errors on its part.
Customers are required to have their own accident insurance covering activities included in the program services they have booked.
7. Error Reporting
Errors that can be addressed during the service should be reported to Hile Outdoor as soon as possible. This can be done verbally to the guide during the service or in writing afterward.
If an error is identified after the service has concluded, customers must report it to Hile Outdoor within a reasonable time, but no later than seven (7) days after the service ends.
8. Service Provider Cancellations
If Hile Outdoor cancels the service, the service fee will be fully refunded.
9. Weather Conditions
Hile Outdoor reserves the right to cancel a service if weather conditions make it unsafe or impossible to proceed. In such cases, an alternative date will be arranged. If rescheduling is not possible, a full refund will be issued.
10. Customer Responsibilities
Customers agree to:
- Provide accurate and timely information required for Hile Outdoor to fulfill its obligations.
- Be present at the specified meeting location and time indicated in the booking confirmation.
- Follow all instructions and safety guidelines provided during the service.
Failure to comply with these responsibilities may result in the cancellation of the service without a refund.
11. Service Language
Services are conducted in Finnish or English unless otherwise agreed upon.
12. Data Protection
Customer personal data is processed solely for the purpose of handling bookings. Personal data will not be shared with third parties. For more information, please refer to our Data Protection Policy.
13. Applicable Law and Disputes
These terms are governed by Finnish law.
If a dispute arises that cannot be resolved through negotiation, the customer may submit the matter to the Consumer Disputes Board (kuluttajariita.fi). Before doing so, the customer must first contact Consumer Advisory Services.
